Terms & Conditions

Pearl & Rose Florals

These Terms & Conditions apply to all bookings made with Pearl & Rose Florals (“Pearl & Rose”, “we”, “our”). By securing your booking, you agree to the following terms.

Pearl & Rose provides bespoke floral design services for weddings, private events, corporate events, and workshops across Surrey, Berkshire, and surrounding areas.

1. Booking & Securing Your Date

Your event date is secured once the following have been received:

  • A signed agreement or written confirmation of acceptance

  • A non-refundable booking fee of 25% of the total quoted amount

Until the booking fee is received, Pearl & Rose cannot guarantee availability.

2. Payment Terms

The remaining balance is due no later than 4 weeks prior to your event date.

For bookings made within 4 weeks of the event, full payment is required at the time of booking.

Failure to complete payment by the due date may result in cancellation of your booking.

3. Cancellation Policy

The booking fee is non-refundable, as it secures your date and covers design preparation.

If you cancel your booking:

  • More than 8 weeks before the event: no further payment required beyond the booking fee

  • Within 8 weeks of the event: up to 50% of the total balance may be payable

  • Within 4 weeks of the event: the full balance may be payable

This reflects materials ordered, preparation time, and loss of business.

4. Changes to Your Booking

We understand that plans may evolve. Reasonable changes to your floral design may be accommodated where possible.

Significant changes, including date changes, venue changes, or large reductions in floral requirements, may incur additional costs or be treated as a cancellation.

Any changes must be confirmed in writing.

5. Seasonal Availability & Substitutions

Pearl & Rose works with seasonal flowers of the highest quality. While we will always aim to honour your agreed floral palette and style, specific flower varieties cannot be guaranteed due to seasonal and supplier availability.

We reserve the right to substitute flowers with suitable alternatives of equal or greater quality, maintaining the agreed overall aesthetic.

6. Delivery, Installation & Collection

Pearl & Rose will deliver and install all agreed floral designs at your venue on the event date, in accordance with the agreed schedule.

We liaise directly with venues and planners where required to ensure a seamless installation.

Where hire items are included, these remain the property of Pearl & Rose and will be collected after the event at a pre-arranged time.

7. Hire Items

Any hired items, including vases, vessels, arches, or structures, remain the property of Pearl & Rose.

Clients are responsible for ensuring hire items remain safe and undamaged until collection.

Loss or damage may result in replacement charges.

8. Photography & Marketing

Pearl & Rose reserves the right to photograph floral designs and use images for marketing purposes, including website, social media, and promotional materials.

This will always be done respectfully and without compromising client privacy.

9. Force Majeure

Pearl & Rose shall not be held liable for failure to perform services due to circumstances beyond our control, including but not limited to:

  • Extreme weather

  • Illness

  • Venue closure

  • Supplier failure

  • Government restrictions

In such circumstances, we will make every reasonable effort to provide alternative arrangements.

10. Liability

Pearl & Rose accepts no liability for damage or injury caused after installation, including damage caused by venue staff, guests, or external contractors.

Our liability is limited to the value of the services provided.

11. Agreement

By paying the booking fee, you confirm acceptance of these Terms & Conditions.

These terms are governed by the laws of England and Wales.
